Job Opportunity: Secretary – ICAD 1, Mussafah, Abu Dhabi
About the Role: We are looking for an organized and detail-oriented Executive Assistant to support our executive team with a range of administrative and organizational tasks. This role is vital in streamlining operations and providing essential support for executives, ensuring effective workflow and communication within the office.
Key Responsibilities:
Document Management: Review and analyze incoming memos, submissions, and reports; plan and manage distribution.
Correspondence Handling: Open, sort, and distribute all incoming correspondence, including faxes and emails.
Records Management: File and retrieve corporate documents, records, and reports.
Visitor Coordination: Welcome visitors and manage access to relevant individuals.
Routine Responses: Prepare responses to routine correspondence.
Office Management: Perform general office duties, order supplies, maintain records, and handle basic bookkeeping.
Meeting Coordination: Prepare agendas, arrange meetings, and manage travel for executives.
Research and Presentation Preparation: Conduct research, compile data, and prepare documents for executive use.
Minutes and Scheduling: Record and distribute meeting minutes; manage executive schedules.
Document Preparation: Draft invoices, reports, letters, financial statements, and other documents using MS Office and other software.
Policy and Procedure Management: Set up and manage office policies and procedures.
Supervision: Oversee and train clerical staff.
Process Improvement: Assess and improve workflow, reporting, and expenditure procedures.
Policy Interpretation: Communicate administrative and operational policies to employees.
Qualifications:
Experience: Proven experience in administrative support functions; project coordination experience is a plus.
Technical Skills: Proficiency in MS Office; knowledge of Oracle systems is advantageous.
Language: Strong communication skills in English, both verbal and written.
Skills and Competencies: Professional demeanor, courteous, excellent verbal and written communication, strong problem-solving abilities, trustworthy, and resilient under stress.
Organizational Abilities: Effective time management, planning, and organizational skills.
